Getting started
Q: How do I sign up?
A: Go to Start Free Trial, enter your band name, your name, email and a
password. That creates your band and logs you straight in as its first admin — no card required,
and you get a 14-day free trial on any plan.
Q: How do I invite the rest of the band?
A: As an admin, go to Members and add each person's name and email. They get an
invitation email with a link to choose their own password — you never set a password on
someone else's behalf.
Q: I didn't get an invitation or confirmation email.
A: Check your spam folder first. If it's not there, ask your band admin to use "Resend invite" from the
Members page, or use "Resend confirmation email" from your Profile page.
Q: What's the difference between "admin" and "member"?
A: Admins can create/edit events, manage members, manage event types, and see Billing. Members can
view the calendar, RSVP, check availability, and use Songs & Set Lists — but can't change
band-wide settings.
Events & the calendar
Q: What's the difference between a Gig, a Rehearsal, and "Other"?
A: These are the three event types every band starts with (an admin can rename, recolour, or add
more from Event Types). Gig matters beyond labelling too — it's what the
Public Gigs API publishes to your own website.
Q: How do members find out about a new event?
A: Creating an event automatically emails every member an invitation with direct Accept/Decline
links — they can respond straight from their inbox without logging in.
Q: Can I add an event to my phone's calendar?
A: Yes — every event page has an "Add to Calendar" link that downloads an .ics file, which
Apple Calendar, Google Calendar, and Outlook all understand.
Q: Can I use Band Manager like an app on my phone?
A: Yes — add it to your home screen and it opens full screen with one tap, no logging in
every time. See our step-by-step guide for iPhone and Android.
Q: I need to cancel an event — do I have to delete it?
A: No, cancel it instead of deleting: the event stays visible with a cancelled marker and a reason,
rather than just vanishing and leaving people wondering what happened to it.
Availability & RSVPs
Q: How does availability work?
A: From Availability, set which days of the week you're generally free, then mark
specific date ranges (like a holiday) as unavailable on top of that. Admins can see this while
creating an event, before anyone's even been invited.
Q: I RSVP'd by mistake — can I change my answer?
A: Yes, just click the other link in the original email, or open the event from the calendar and
change your response there.
Documents & Songs
Q: What can I upload as an event document?
A: PDF, Word documents, plain text, and images (JPEG/PNG) — contracts, stage plans, rider
documents, anything relevant to that specific event.
Q: What's the Songs & Set Lists feature?
A: Songs is a shared library for your band — title, artist, key, tempo, who
sings it, and an optional chart/document. Set Lists lets you build an ordered list
from that library for a specific gig or rehearsal, with venue and notes attached.
Account & security
Q: I forgot my password.
A: Use "Forgot your password?" on the login page. The reset link works the same way an invite does,
and changing your password automatically signs out any other device or browser still logged in on
your account.
Q: Should I turn on two-factor authentication?
A: We recommend it, especially for admins. Turn it on from Profile with any
authenticator app (Google Authenticator, Authy, etc.) — once enabled, logging in needs a code
as well as your password.
Billing & plans
Q: How is Band Manager priced?
A: One plan for the whole band, priced by how many members you invite — not per seat. See
current pricing on the homepage or on the Billing page inside
the app.
Q: My trial ended and I can't create events any more.
A: The diary and your history are still there — you just need to pick a plan on the Billing page
to start creating and inviting again.
Q: I need to change my band's plan.
A: An admin can switch plans any time from the Billing page inside the app; Stripe prorates the
difference automatically.
Q: How do I cancel?
A: From Billing, "Manage payment & invoices" opens Stripe's own portal, where you can cancel.
You keep full access until the end of the billing period you've already paid for.
Q: I want to show our gigs on our own website.
A: The Public Gigs API add-on does exactly that — a one-time, non-refundable purchase from
Billing, then see the API documentation for how a developer wires it up.
