Terms & Conditions
These Terms govern access to and use of Band Manager, a subscription-based event and member management platform for bands, choirs, orchestras, and similar groups.
- Definitions. "Service" means the Band Manager platform. "Customer" means the subscribing band, group, or individual; "you" refers to the Customer and to any member they invite to use the Service on their behalf.
- Acceptance. By creating an account or otherwise using the Service, you agree to these Terms.
- Subscription services. Access to the core Service is provided on a monthly subscription basis, priced by the number of members in your band, as shown on the Billing page at the time you subscribe. Fees are payable in advance via Stripe and may be changed with reasonable notice. Optional add-ons (such as the Public Gigs API) may instead be sold as a one-time, non-refundable payment — where that applies, it is stated clearly at the point of purchase.
- Accounts and security. Customers are responsible for the security of their account, their password, and the conduct of any member they invite. Enabling two-factor authentication is strongly recommended, particularly for admin accounts.
- Acceptable use. You must not misuse the Service, attempt to breach its security, upload unlawful content, or infringe the rights of any third party.
- Customer data. You retain ownership of the data you put into the Service (event details, member records, documents, set lists, and similar). You grant Band Manager a limited licence to host, process, and back up that data solely for the purpose of delivering the Service to you.
- Availability and maintenance. The Service may occasionally be unavailable during maintenance, upgrades, or circumstances outside our reasonable control.
- Intellectual property. All software, branding, and platform content remain the property of Band Manager. Nothing in these Terms transfers any of that to you.
- Support. Support is provided by email — see Support for details and typical response times.
- Suspension. An account may be suspended for non-payment, unlawful activity, or material breach of these Terms.
- Termination. You may cancel your subscription at any time from the Billing page; access continues until the end of the current billing period. We may terminate an account for the reasons set out in "Suspension" above, or on reasonable notice for any other reason.
- Limitation of liability. To the maximum extent permitted by law, our liability to you is limited to the fees you paid in the 12 months before the claim arose. We are not liable for indirect or consequential losses.
- Data protection. Personal data is processed in accordance with the Privacy Policy below and applicable UK GDPR requirements.
- Changes. These Terms may be updated from time to time; continued use of the Service after a change takes effect constitutes acceptance of the revised Terms. Material changes will be flagged on this page.
- Governing law. These Terms are governed by the laws of England and Wales.
Privacy Policy
- Who we are. Band Manager provides member, event, and band administration services at bandmanager.cloud.
- Information we collect. Names, email addresses, postal addresses and phone numbers (where a member chooses to add them), account credentials, event and attendance records, uploaded documents, and payment-related records handled via Stripe (we never see or store full card details ourselves). Security-relevant activity is kept in an internal audit log — see "Retention" below.
- Purpose of processing. Running the Service: creating and managing your account, sending event invitations and reminders, processing subscription payments, providing support, keeping the Service secure, meeting our legal obligations, and improving the product.
- Legal basis. Contract performance (providing the Service you've signed up for), our legitimate interests (security, fraud prevention, service improvement), legal obligations (e.g. tax records), and consent where specifically required.
- Data sharing. We share data with the hosting, payment (Stripe), and email delivery providers needed to run the Service, each acting under contractual safeguards. We do not sell personal data, and do not share it for advertising purposes.
- International transfers. Where personal data is transferred outside the UK (for example to a service provider's servers), appropriate safeguards such as Standard Contractual Clauses are used.
- Retention. Data is kept only as long as necessary: account and event data for as long as your account is active, and audit log entries for a limited period afterward for security and legal purposes. Ask us if you'd like specifics for your account.
- Security. Passwords are hashed, not stored in plain text; sessions are revoked when a password changes; optional two-factor authentication is available; and sensitive actions are logged. See the security measures listed on the homepage for more detail.
- Your rights. Subject to applicable law, you may ask to access, correct, erase, restrict, or receive a copy of your personal data, and you may object to certain processing. Contact us (below) to exercise any of these. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).
- Cookies. See the Cookies section below.
- Contact. Privacy questions or requests can be sent to bandmanager@bandmanager.cloud.
- Updates. This policy may be amended from time to time; material changes will be flagged on this page.
Cookies
Band Manager uses one cookie, and nothing else:

There are no analytics, advertising, or third-party tracking cookies anywhere on this site. The small "Accept" notice itself is remembered using your browser's local storage, not a cookie, so dismissing it doesn't add another one.
The one exception is Stripe: if you go to Checkout or the billing portal to manage a subscription, you're taken to a page on stripe.com, which sets its own cookies under its own policy — that's between you and Stripe, and outside anything this site controls.
